This Privacy Policy explains how e-Medical Education, LLC ("e-Med", "we", "us") collects, uses, and protects personal information in connection with this website and the services we provide.
Who we are
e-Med provides a Student Information System (SIS) and related services to medical schools. In most cases the personal information of students and applicants held in that system is processed by e-Med on behalf of the institution that collected it. That institution determines what is collected and why, and its own privacy policy governs that information. This policy covers information e-Med collects in its own right, including through this website, and describes the practices e-Med applies when operating the SIS on an institution's behalf.
Information we collect
- Information you give us directly — your name, organization, email address, telephone number, and anything you write in the message when you use the contact form on this site.
- Information processed on behalf of an institution — where e-Med operates the SIS for a medical school, that may include applicant and student contact details, identification documents, academic history, application and enrolment records, and communications with the institution.
- Technical information — standard web server logs, including IP address, browser type, and the pages requested.
Text messaging (SMS)
Where an institution uses the SMS features of the SIS, e-Med sends text messages on that institution's behalf. The following applies to that messaging:
- Messages are sent only to a mobile number whose owner has given express consent for that number, either by agreeing on screen within the application or by agreeing to a statement read aloud to them by staff. The exact wording consented to is recorded with the consent.
- Messages consist of one-time verification codes, status updates, and reminders. Message frequency varies.
- Message and data rates may apply. Reply STOP to any message to stop receiving messages, or HELP for help.
- Mobile telephone numbers and SMS consent are never sold, rented, or shared with third parties or affiliates for their own marketing or promotional purposes. Numbers are disclosed only to the messaging service provider that delivers the message on our behalf, and only for that purpose.
How we use information
We use personal information to respond to enquiries, to provide and support the services an institution has engaged us to deliver, to operate and secure our systems, and to meet legal and regulatory obligations.
Disclosure
We disclose personal information to the institution on whose behalf it was collected; to service providers who process it for us under contract, such as hosting, email, and messaging providers; and where required by law. We do not sell personal information.
Retention
Information collected through this website is kept only as long as needed to respond to the enquiry and to keep a record of it. Information held in the SIS is retained according to the instructions and retention obligations of the institution on whose behalf it is held.
Security
We take reasonable technical and organizational measures to protect personal information against loss, misuse, and unauthorized access, including encryption in transit, access controls, and multi-factor authentication for staff accounts. No system can be guaranteed completely secure.
Your choices
You may ask us what personal information we hold about you, ask that it be corrected, or ask that it be deleted, using the contact details below. Where the information is held on behalf of an institution, we will refer your request to that institution and assist them in responding. You may stop text messages at any time by replying STOP.
Children
Our services are directed to institutions and to adult applicants and students. We do not knowingly collect personal information from children.
Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last revised.
